For every contact, note date, participants, channel, subject, documents exchanged, representations made, open questions, promised follow-up, and response deadline. Save envelopes, email headers, portal confirmations, recordings obtained lawfully, and policy versions.

The objective is a precise, supported, proportionate response, not silence, oversharing, or a promise that cooperation will produce payment.
