Client-task messages should state exactly what is needed, why, secure delivery method, due date, and consequence of delay. These categories prevent routine silence from obscuring an urgent request.
Assign Ownership and a Backup for Every Channel
Record the primary lawyer, day-to-day contact, billing or expense contact, backup during absence, approved phone and portal methods, interpreter or accessibility needs, business hours, urgent procedure, and response expectation. Identify which decisions require direct attorney involvement and which status questions another team member can accurately answer.
The client should provide current contact information, preferred channel, unavailable periods, and consent boundaries. Sensitive medical, financial, employment, and settlement material needs an appropriate transmission method. Keep material instructions and authority in a durable record rather than relying solely on an unconfirmed voicemail.
A Useful Update Names Work, Dependency, and Next Decision
Use a compact dashboard: present phase, work completed since the last report, outstanding source, who controls it, follow-up date, next decision, upcoming cutoff, and client task. If nothing material changed, say which dependency remains open and what follow-up occurred. That is more informative than a generic statement that the case is progressing.
At intake, agree on the routine cadence and create three escalation triggers: an unanswered urgent message, a missed promised update, and an approaching deadline without clear ownership. Review the plan after filing or another major phase change. Predictable communication comes from defined roles and events, not from promising constant contact.
